Slatwall display booths are a popular choice for businesses attending trade shows and events. Their versatility and professional appearance make them an excellent way to showcase products and branding. However, their size and structure can present challenges when it comes to transportation. Proper handling helps your investment arrive at its destination safely and ready for assembly.

This guide provides practical advice for transporting slatwall display booths. We will cover everything from disassembly and packaging to selecting the right transport method and securing your load. Following these steps will help you protect your display from damage and ensure a smooth, stress-free experience from start to finish.

What Are Slatwall Displays?

Slatwall displays consist of panels with horizontal grooves, or “slats,” designed to hold shelves, hooks, and other fixtures. This system allows for highly customizable configurations, making them ideal for exhibiting a wide range of products. The panels are typically made from medium-density fiberboard or similar materials. Their aluminum frames provide durability, but the boards can be susceptible to damage during transport if not handled correctly.

Because of their modular nature, businesses can disassemble slatwall booths for transport and reassemble them at different venues. Their reusability makes them a cost-effective solution for companies that frequently participate in trade shows. However, protecting the panels during transit is critical to maintaining their appearance and functionality for future events.

Disassembly and Preparation

The first step in transporting a slatwall display is careful disassembly. Begin by removing all shelves, hooks, and accessories from the panels. Pack these smaller items separately in labeled boxes to make reassembly easier.

Next, methodically dismantle the main structure of the booth. Pay close attention to how the panels are connected, as different systems use various fasteners and joining mechanisms. It is helpful to take photos or label components during this process to create a visual reference for later.

Once you’ve separated the panels, inspect each one for any pre-existing wear or damage. Cleaning the panels with a soft, dry cloth will remove any dust or debris. This preparation ensures they are in the best possible condition before being packaged for transit.

Choosing the Right Packaging Materials

Selecting the appropriate packaging materials is crucial for protecting your slatwall panels. You will need materials that offer cushioning and prevent scratches, dents, and corner damage. Common and effective options include moving blankets, bubble wrap, and furniture pads.

For added protection, use cardboard or foam corner protectors, especially for the vulnerable corners of the panels. These small additions can significantly reduce the risk of impact damage. For long-distance or third-party shipping, custom-built containers provide the highest level of security.

Additionally, you will need strong packing tape and stretch wrap to secure the protective materials around the panels. Using the right combination of these supplies creates a protective barrier that shields the panels from the rigors of transportation.

Packing the Slatwall Panels

Proper packing technique is essential to prevent damage. Wrap each slatwall panel individually with a moving blanket or multiple layers of bubble wrap. Ensure the entire surface, including the edges and corners, is completely covered.

Once wrapped, stack the panels carefully. It is best to stack them flat, one on top of the other, on a pallet or a flat, stable surface. Place a layer of cardboard or a thin piece of foam between each panel to provide extra cushioning and prevent them from rubbing against each other.

After stacking, secure the bundle of panels together using stretch wrap or packing straps. This prevents them from shifting during movement. If you are using a crate, ensure the panels fit snugly inside with minimal room for movement, using additional padding to fill any gaps.

Transport Options

Several transport options are available, and the best choice depends on the size of your display, the distance to your destination, and your budget. For smaller displays, a personal cargo van or a large truck may suffice. This option gives you complete control over the handling of your materials.

For larger displays or longer distances, a professional freight service is often a more practical solution. Less-than-truckload freight services are a cost-effective option, as you only pay for the space your shipment occupies. When using a freight service, ensure third parties securely crate their shipments to securely handle your panels.

Hiring a professional moving company that specializes in trade show exhibits is another excellent choice. These companies have experience with handling delicate and oversized items and can manage the entire process for you. This often includes packing, loading, transport, and unloading, providing peace of mind.

Securing the Load

Properly securing the load inside the transport vehicle is a critical final step. If you are transporting the panels yourself, use ratchet straps or tie-downs to firmly secure the stacked panels to the vehicle’s interior walls or floor. This will prevent them from sliding or tipping over during transit.

Make sure the straps are tight enough to hold the load in place but not so tight that they cause damage to the panels. Using a blanket or piece of cardboard under the straps can help distribute the pressure and protect the panel surfaces. The goal is to eliminate all movement to ensure the load arrives in the same condition that you loaded it.

If a freight or moving company is handling transport, they will be responsible for securing the load. However, it is still a good practice to confirm their procedures and ensure your crated display features proper anchoring within the truck.

Insurance Considerations

Even with the best precautions, accidents can happen. Transportation insurance provides financial protection against loss or damage during transit. Before shipping your display, review your existing business insurance policy to see if it covers goods in transit.

If your policy does not provide adequate coverage, consider purchasing a separate transit insurance policy. When working with a freight or moving company, inquire about their liability coverage. Understand the limits and terms of their policy, and purchase additional insurance if necessary to cover the full value of your display booth.

Having the right insurance in place offers a crucial safety net. It ensures that if any damage occurs, you will have the resources to repair or replace your slatwall display without a significant financial setback.

Top notch! Excellent service, excellent booth and graphics options resulting in a beautiful booth that serves as a 10x10 and a 10x20 -- the quality and design is much better than previous pop-ups and even easy to assemble! The initial contact was right before COVID and even though production was during COVID and had to work under duress and CDC guidelines, Gene Friedman and his team at Infinity met all timelines and created an amazing exhibit. The team was so easy to work with and walked me through step by step for set up, tear down and packing. The "how to" guide they provided is very detailed, complete with photos! We received so many compliments and have recommended Gene and Infinity Exhibits to many other exhibitors and associates in the broadband industry.

We've been working with Infinity for several years now, and for good reason. The team built us a professional, high quality booth that we instantly fell in love with. So we bought another. And then we wanted to combine the two. Then we had more ideas... and every time, Gene and the rest of the team were there to help envision what we wanted, work through the kinks of building a custom system, answer all of my silly questions, and help out at nearly the drop of a hat every time. We will continue this relationship well into the future, as we continue to fiddle and finagle these booths into whatever our hearts desire, and we know we'll have the support we need.

I was truly nervous of how this booth would work for us, but we needed something we could use repeatedly - to cut down on waste and costs . We also needed to be able to set it up without tools due to the union rules at our show location. We made a few tweaks on site to the original design and we could not be happier without it came out. I made selling our products so easy and we look more credible with out booth design and set up.

I was a novice when it came to designing and constructing a booth as well as the set up tear down process. Gene walked me through the process from start to finish. He educated me beyond expectation even before receiving a PO from me. Gene's openness and willingness to help me understand what I needed to know was invaluable. We ultimately purchased our booth from Infinity Exhibits and the quality of the product and the setup and tear down at our conference was exceptional. Infinity Exhibits sets the benchmark for customer experience, quality, and cost/benefit. I highly recommend Infinity Exhibits to anyone needing their services.

The people at Infinity Exhibits do excellent work at a price that is fair to them as well as the client.

My company ordered a tower from them for our trade show booth a few years ago. In the meantime, some of our products changed and I wanted to reflect the changes with new pictures on the panels of the tower. I contacted Gene and he was very helpful but did explain to me that this was a very busy time for them. Even at that, our new panels shipped just over a week later. I highly recommend them!
